Privacy Policy

This Privacy Policy describes how Firm Details LLC ("we," "us") collects, uses, retains, and deletes data in connection with the Details add-in for Autodesk® Revit®, the Details web dashboard at firmdetails.com, and the Details integrations for Autodesk BIM 360®, Autodesk Construction Cloud®, and Forma (together, the "App").

1. Data we collect, how it is collected, and how it is used

Account and profile data

When you create or use an account, we collect information such as your email address, display name, firm name and membership, account role, job role or disciplines, optional profile picture, license and subscription status, installer download and plugin activation status, and support or feedback communications. This data is collected from you and through your use of the App and is used to authenticate you, administer licensing and billing, associate you with your firm's library, deliver updates, and provide support.

Content you create

We store content you create through the App, such as folders, sheet templates, shares, messages, comments, and related activity records, so those features can work for you and your firm.

Detail library data

When you or your firm sync a Revit container model or project, the App parses the model locally on your machine and uploads data needed to operate the library. This may include drafting-view thumbnails; view titles; discipline and sub-discipline classifications; project and sheet names; folder and sheet organization; family names; keynote text; Revit versions; source file paths; model, project, view, and element identifiers; sync timestamps; and the account or device identifiers associated with the sync. This data is used to provide your firm's searchable detail library, sharing, synchronization, and AI-powered recommendations. Your Revit model or project file and its model geometry are not uploaded to Firm Details cloud storage.

Autodesk account data

If you connect a model hosted in BIM 360, Autodesk Construction Cloud, or Forma, you sign in with your own Autodesk account using OAuth. The App receives basic Autodesk profile information and OAuth credentials needed to access authorized content. The refresh token is encrypted on your Windows device using Windows Data Protection API (DPAPI), and access tokens are held in memory while needed. The App accesses only Autodesk projects and files available to the signed-in Autodesk account when you authenticate, browse, or sync.

AI features

To provide Recs, library search, and detail summaries, the App may send user prompts, detail titles and summaries, discipline data, family names, keynote text, library metadata, and detail preview images to Google's Vertex AI (Gemini). Some summaries may be generated automatically after a library sync. Google processes this content under its Google Cloud data-processing terms and does not use customer content to train shared models without permission.

Diagnostic data

The App collects crash and error reports to diagnose defects. Reports may include error messages, stack traces, plugin and Revit versions, operating-system usernames, account or firm identifiers, recent user-interface actions, and technical context such as file paths or view names involved in an error. The App also performs license, entitlement, version, and update checks at startup.

Payment data

Subscription payments are processed by Stripe. Stripe collects the billing and payment information needed to process your purchase. We receive transaction, customer, and subscription identifiers, but do not collect or store full payment card numbers.

Website analytics and local storage

If you accept analytics cookies on firmdetails.com, Google Analytics 4 collects usage information such as page views, feature interactions, browser or device information, and approximate location derived from an anonymized IP address. Analytics does not load if you decline. We also use browser local storage for your consent choice and application preferences.

We do not sell your data, use it for advertising, or collect data unrelated to the functions described above.

2. Third parties

We share data only with the service providers required to operate the App, and each provides protection consistent with this policy:

  • Google Cloud / Firebase (United States, including US-Central services): authentication, database, cloud functions, storage, and AI processing. Google Cloud maintains SOC 2 Type II and ISO 27001 certifications, and data is encrypted in transit and at rest.
  • Google Vertex AI: processes library text to generate AI recommendations under Google Cloud's data-processing terms; content is not retained for model training.
  • Autodesk Platform Services: used solely to authenticate you and access Autodesk-hosted files you select, under Autodesk's own terms and privacy policy.
  • Google Analytics 4: processes consent-based website usage analytics.
  • Stripe: processes subscription payments and manages billing records under Stripe's terms and privacy policy.

We use no advertising networks and do not sell personal data. These providers process data under their applicable terms, privacy policies, and data-processing agreements.

3. Data retention and deletion

  • Account and library data are retained for as long as your firm's account is active.
  • Firm administrators can permanently delete individual synced projects or wipe the firm's entire cloud library from the App or dashboard. Deleted data is removed from active application systems; residual copies may remain temporarily in provider backups until those backups expire under the provider's normal retention schedule.
  • Diagnostic and error reports are retained only as long as reasonably necessary to investigate defects, maintain security, and improve reliability, unless a longer period is required by law.
  • Consent-based website analytics are retained according to our configured Google Analytics retention settings. Stripe may retain billing records as required for transaction processing, fraud prevention, accounting, and legal compliance.
  • If your firm's account is closed, associated firm and library data is scheduled for deletion from active systems within 30 days, subject to legal obligations and temporary provider backups.

4. Revoking consent and requesting deletion

Autodesk access

You can revoke the App's access to your Autodesk account at any time by signing out inside the App, or from your Autodesk account's authorized-applications settings at accounts.autodesk.com. An ACC/BIM 360 account administrator can also deactivate the integration for the entire account.

Cloud data

Firm administrators can delete synced projects or the entire firm library directly from the App.

Full account deletion

You may request deletion of your personal account data, and an authorized firm administrator may request deletion of firm-owned library data, by emailing david@firmdetails.com. Some records may be retained when they belong to the firm account, are required to complete billing or security obligations, or must be kept by law. We will confirm completion or explain any retained records within 30 days.

Uninstalling the App

Uninstalling the MSI removes the installed program files and Revit add-in manifest. Local application data, which may include preferences, caches, queued diagnostic reports, and an encrypted Autodesk refresh token, may remain under %LocalAppData%\Prototype1. You may delete that folder manually after uninstalling if you want to remove the remaining local data.
